4800 · Payroll & Compliance

One firm covers employees and subs.

Payroll here is an add-on for bookkeeping clients — offered because the ledger and the payroll should never contradict, not run as a standalone shop. Payroll runs on time, withholdings land where they’re supposed to, and the alphabet of filings — W-2/W-3, 1099/1096, 940/941, state unemployment, Texas franchise and sales tax — goes out on schedule. Handled by the same firm that files your return, so nothing contradicts.

Contractor & Sub Reporting

1099-NEC tracking all year, W-9 collection before the first check instead of a January scramble, and the 1096 transmittals filed on time.

Federal & State Filings

Quarterly 941s, annual 940, W-2/W-3 transmittals, and Texas Workforce Commission unemployment filings — the calendar is ours to track, not yours.

Texas Franchise & Sales Tax

Franchise reports and sales tax returns for trades whose work crosses the taxable-services line — a distinction worth getting right in Texas.

✓ ONE LEDGER  Payroll handled inside the firm posts straight to books we keep and returns we file — no year-end mismatch between what payroll reported and what the tax return claims.

Payroll, answered.

How do I know if a worker is an employee or a 1099 contractor?

Not by what’s easier. The tests weigh who controls how, when, and with whose tools the work is done — and misclassification is one of the most expensive mistakes a trades business can make, because back employment taxes and penalties arrive together. If you’re unsure about a worker, that’s precisely the conversation to have before the next check, not after an audit letter.

What happens if payroll tax deposits fall behind?

Take it seriously and move fast — payroll taxes are the debt the IRS pursues hardest, and the trust-fund portion can attach to owners personally. The fix is procedural: get current on deposits, address the arrears through the available resolution channels, and keep every future deposit on time. Our representation side handles exactly this.

Can you take over payroll mid-year without wrecking my W-2s?

Yes. A mid-year conversion carries in year-to-date wages and withholdings from your prior provider so the annual forms come out whole. It’s routine — the key is capturing the YTD data before access to the old system lapses.
